Booth Licenses, billing and auto-release

Reserve a regular booth, understand renewal and failed-payment recovery, and know when opt-in auto-release can affect an unbooked date.

Steps

  1. 1

    Open an active plan

In Vendors → Booth Licenses, choose View Plan. Sign in to see its available seats and current monthly/yearly amounts. Prices shown below are read from active plans.

    View Booth License plans →
  2. 2

Choose your billing cycle and seat

Choose Monthly or Yearly on the plan. If it has a seating chart, choose an eligible seat. Review the amount and card requirements before using the subscription action. A plan without a chart can be subscribed to directly.

  3. 3

    Review your recurring license

Open My Account → Booth Licenses for status, seat, current plan rate, next billing date and expandable transactions. Active—Comped is an occupied license with no scheduled charge; a rate shown for a cancelled license is not a new payment.

    Manage Booth Licenses →
  4. 4

    Deal with failed payments promptly

On-hold warnings show the failed-payment state and recovery action. Add a card in Payment Methods if needed, then use Pay now/the displayed balance action. The retry policy allows four failed attempts within the configured retry window; the account shows the next retry when scheduled. A terminal failure can cancel the license and release the booth.

  5. 5

    Book your event dates separately

A license reserves the booth; it does not pay for an event. The auto-release workflow targets its configured future weekend (the helper currently selects the weekend 11 days after Tuesday), not necessarily the nearest Saturday. Review reminder dates carefully.

  6. 6

    Understand Tuesday reminders and exemptions

For licenses explicitly opted into auto-release by an admin, the intended schedule is a Tuesday 3 PM Pacific reminder and 7 PM Pacific release if the relevant event is still unbooked. Auto-release is OFF by default. Confirmed/paid bookings are protected; disabled/exempt licenses are skipped. The release frees the target event reservation, not the license subscription itself. These jobs depend on external cron scheduling; the guide cannot guarantee they ran.

  7. 7

Cancel deliberately when no longer needed

Use Cancel on the appropriate license and read the confirmation. This is a subscription action, not an automatic refund of historical fees or cancellation of separate event orders. Ask staff about a plan/seat change rather than assuming it moves existing paid bookings.

Good to know

  • Do not assume everyone receives the auto-release reminder: only configured, eligible licenses are included.
  • Keep your payment history and event order numbers when querying a disputed charge.

Questions

Does auto-release cancel my recurring license?

No. It frees an unbooked target-event reservation; the license record is not cancelled by that job.

Am I automatically enrolled in auto-release?

No. The admin-controlled autoReleaseEnabled flag defaults off. Ask staff to confirm your license setting.

Will my confirmed paid booth be released?

The release workflow checks confirmed/paid bookings and skips them. Contact staff immediately if the displayed seat and order disagree.
